Birthday Party Staff & Scheduling Information

We’re delighted to have a dedicated team that helps make our weekend birthday parties special. For all planning and administrative details, I’ll be your main point of contact—my name is Bianca, and I’m the Birthday Coordinator and Facilitator. On the day of your celebration, you may also be warmly welcomed and assisted by our wonderful Birthday Facilitators, Shynik and Emily.

The best way to reach us is via email at birthdays@discoverwcm.org. If you prefer to speak with someone directly, you can call our main museum number (914)421-5050, where our team will be happy to assist with any questions you may have.  

You will have at least one party facilitator assigned to help with your event. They will assist with setting up the room, facilitating any workshops, serving food and dessert, and ensuring the room is cleaned up afterward.

The maximum guest count for the party room is 50 people. The typical ratio is 25 kids and 25 adults, but you are welcome to adjust the balance between kids and adults as long as the total does not exceed the 50-person limit.

Any additional guests beyond the 50-person maximum will incur an additional fee of $16 per person, which is the standard admission fee for the museum.

All guests must be accompanied by their adult. One Adult per Child guest. This is not a drop off party

You will have 30 minutes to set up your party room before the event begins. If you choose to arrive 30 minutes prior to your party, please note that the room may still be in the process of being cleaned from the previous party.

Please note that we do not provide decorations for parties such as tablecloths, plates, napkins, utensils, etc. You are welcome to bring your own decorations to personalize your celebration.

Balloons, banners, & signs are encouraged and can be hung using painter's tape to preserve the integrity of the museum walls. However, we do not allow confetti or piñatas.

Outside food is welcome for your celebration. We do not provide food in our party packages, you are invited to bring your own snacks, drinks (like juice boxes & water bottles), and treats. No open cups or drinks are allowed.

We also partner with a few local vendors if you'd prefer to order from them. Our current vendor options include:

• Piazza Pizza in Rye

• Cerbone's Bakery in Rye

• Gotham Freeze in Hartsdale

Please note that alcohol is strictly prohibited on the premises.

After booking, you will receive a confirmation email with all the details about your birthday party. This email will include a link to a Google Form, which contains important logistics for your event.

Please review the form carefully, as it includes all the necessary information for your celebration. The form must be signed and submitted at least one week prior to your party. This is also where you will attach your guest list. 

Please note that the Museum utilizes the Playland parking lot during the summer. To ensure a smooth and organized experience for all guests, please review the following parking guidelines for birthday parties:

• Host Parking: Party hosts may park in the designated lot adjacent to the museum.

• Guest Parking: All birthday party guests are required to park in the Playland lot.

• Parking Passes: Hosts may purchase parking passes at the time of booking.

• Pass Allocation: The number of parking passes purchased corresponds to the number of vehicles permitted to park at no cost in the Playland lot. For example, if 20 passes are purchased but 25 vehicles arrive, the additional 5 vehicles will be responsible for paying the standard parking fee.

• Guest List Submission: Please provide a list of the number of vehicles expected, along with the names of the drivers or parents, so this information can be shared with Playland in advance.

• If the Birthday Party is canceled before 30 days, there will be a full refund

• If the Birthday Party is canceled between 7 days and 30 days before the party date, half the amount (50%) of the party is non-refundable

• If the event is canceled within 7 days of the party date, the full amount of the party is non-refundable

• Cancellations must be received in written form, either by email or regular mail, within the time frames mentioned above - the Party Faciliator will confirm cancellation via email or phone before issuing any applicable refunds.

• WCM is not responsible for "Acts of God," including severe weather. In the case that the Birthday Party is canceled by WCM solely because the Premises cannot be used for the event in a manner acceptable for a Birthday Party, in its sole discretion and determination, the Birthday Party Host (the individual(s) who paid for the Party) will receive a full refund of all amounts paid to date within 5-10 business days of the cancellation. WCM will not be liable to any individual in the Party, their affiliates, or their guests for any expenses or damages incurred by and in relation to the Party if it is terminated or postponed for the above reason.
